Your privacy matters. This policy explains what information HandlerAI collects, how we use and protect it, and the choices you have — for both the businesses that use HandlerAI and the callers they serve.

This Privacy Policy explains how HandlerAI ("HandlerAI", "we", "us", or "our") collects, uses, shares, and protects personal information when you use our website and AI phone-receptionist services (the "Services"). It applies to our customers (the businesses that use HandlerAI) and to the callers who reach those businesses through the Services.

02Information we collect

We collect information in a few ways:

  • Account and billing information you provide, such as your name, business name, email, phone number, and payment details (processed by our payment provider).
  • Business configuration you provide, including your services, hours, pricing, policies, and knowledge-base materials used to answer calls.
  • Call data generated through the Services, including call audio, recordings, transcripts, caller phone numbers, captured lead details, booking details, and AI-generated summaries and quality scores.
  • Usage and device data, such as log data, IP address, browser type, and analytics events, collected when you use our website and dashboard.

03How we use information

We use personal information to:

  • Provide, operate, and secure the Services, including answering calls, capturing leads, and booking appointments.
  • Deliver call summaries, transcripts, and notifications to the relevant business account.
  • Process payments, manage subscriptions, and provide customer support.
  • Monitor, maintain, and improve the reliability, quality, and safety of the Services.
  • Comply with legal obligations and enforce our terms.

04Call recording, transcription, and AI processing

To operate the Services, calls may be recorded and transcribed, and their content processed by AI models to generate responses, summaries, lead data, and quality scores. Businesses using HandlerAI are responsible for providing any caller notices and obtaining any consents required by law in their jurisdiction. Callers who do not wish to be recorded should not continue the call and can contact the business by another method.

05How we share information

We do not sell personal information. We share information only as needed to run the Services:

  • With service providers that power the Services (for example, telephony, speech-to-text, AI model, hosting, and payment providers) under contracts that require them to protect the information.
  • With the business account associated with a call — call data is made available to the HandlerAI customer whose line the caller reached.
  • For legal and safety reasons, when required to comply with law, enforce our terms, or protect the rights, property, or safety of HandlerAI, our customers, or others.
  • In connection with a merger, acquisition, or sale of assets, subject to the protections described in this policy.

06Data retention

We retain personal information for as long as needed to provide the Services and for legitimate business or legal purposes. Call recordings and transcripts are retained according to the applicable plan and our retention practices, after which they are deleted or de-identified. Customers can request deletion of Customer Data as described below.

07Security

We use technical and organizational measures designed to protect personal information, including encryption in transit, access controls, and tenant isolation. No system is perfectly secure, and we cannot guarantee absolute security, but we work to protect information consistent with industry practices.

08Your rights and choices

Depending on your location, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. Customers can manage much of their data directly in the dashboard. To make a request or ask a question about your information, contact us at support@handlerai.app. If you are a caller and want to exercise rights over data held by a business that uses HandlerAI, please contact that business directly; we will support them as a service provider.

09International data transfers

We and our service providers may process information in countries other than where you are located. Where required, we take steps to ensure appropriate safeguards are in place for such transfers.

10Children’s privacy

The Services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us so we can address it.

11Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy with a new effective date and, where appropriate, provide additional notice. Your continued use of the Services after the changes take effect constitutes acceptance of the updated policy.
